Guidelines for electronic submission of building data

Data submission guidelines

Owners or the design manager can apply for a building permit and submit the relevant supporting documents through the process. Once the building plans have been reviewed and approved, the permit must be issued. Registration of building supervisor, registration of master craftsmen, registration of designers and registration of design managers which are available on the website Hafnarfjörður and Our pages.

Electronic submission of drawings

Drawings are submitted electronically with the application. Submission of bespoke drawings and plans regarding the building permit which can be found my pages. The following information must be available when submitting the data.

  • Address
  • Building permit number

These rules must be followed for a drawing to be accepted as electronic data.

  • The drawings are to be in landscape orientation and are to all face the same way.
  • Drawings must have a stamping area outlined with a black box in the right-hand corner, 70 mm high and 100 mm wide (in accordance with section 4.2.3 of the Building Regulations). The box will display the electronic signature of the building control officer and the designers.
  • Drawings should be bound together by drawing type and part number. e.g.
    • Electrical Installation Part 01
    • Electrical installation, etc.
  • Drawing sets may be a maximum of 25 MB each.
  • Drawings must have the designer's (responsible person's) name, national identity number, email address and telephone number in the drawing header.
  • Drawings shall be clearly labelled with the location, property part number, and type of drawing.
  • Drawings must be in size A1, A2 or A3.
  • Care must be taken to SHX fonts are disabled exported from AutoCAD. You can use the epdfshx command on O or find other instructions. here.
  • Drawings must not be electronically signed before being submitted to the building control officer for review.
  • Drawings must be in Icelandic.

With each submitted drawing or stack A designer's guarantee must be provided.

Registration of masters and designers

  • A form is opened and completed by an authorised person and sent out for electronic signature.
  • Applicants are checked against the HMS rights database. It is not possible to register a party who does not have valid rights.
  • The applicant must have telephone number, email and national identity number available from the person who needs to sign the document electronically.
  • When everyone has electronically signed the document, it is sent to the applicant by email and also to the City of Hafnarfjörður.
  • The staff of the City of Hafnarfjörður review the application and supporting documents.

Statements

When applying for a safety or final inspection, declarations must be submitted as supporting documents, signed by the applicant, the building supervisor or the relevant master craftsman. Electronic declarations can be accessed on the Hafnarfjörður website or on My Pages.

Online submission of declarations

  • Declarations are completed on an electronic form.
  • The applicant must have the telephone number, email address and national identity number of the person who needs to sign the document electronically to hand.
  • Attachments to declarations can be attached to the electronic form.
  • The document is sent to the applicant by email, fully signed, once everyone has signed it.
  • The council staff receive a copy of the signed document, review the information, and process it.

No need for paper anymore!

All applications, forms and drawings related to building matters have gone electronic with the City of Hafnarfjörður.

Registration of masters and designers

Buildings surveyors, tradesmen, design managers and designers are registered on a project electronically. An automatic lookup in the Housing and Building Authority's (HMS) rights database saves the steps involved in verifying the rights of tradesmen, buildings surveyors and designers. The form is electronically signed as required and submitted to the City of Hafnarfjörður, along with the applicant, by email at the end of the process.

Statements

Declarations from the site supervisor and tradesmen for safety or final inspections have also been made electronic. A simple form is completed and sent for electronic signature. The document is then emailed to the user once signed.

Drawings

Drawings are accepted electronically only. Drawings can be submitted electronically via the My Pages portal. Drawings are reviewed, approved and sent to the building control officer for signing. Upon completion of the process, the drawings are watermarked, electronically sealed and hosted on a map service.

Electronic signatures, seals and watermarks simplify the process, reduce paper use, save time and lower the carbon footprint.
